What is Cleverstack?
Cleverstack is a software delivery business. We work with small and mid-sized businesses to define and deliver operational software — through a structured engagement model that fixes scope before work begins and governs delivery through to a clear close.
Who do you work with?
We work with founders, operations managers, and finance leads in small and mid-sized businesses who need operational software delivered predictably. If you have a defined operational problem and need a contained, well-scoped solution, we are likely a fit.
What kinds of systems do you deliver?
We focus on contained operational systems: client portals, internal operations tools, paper-to-digital systems, dashboards and reporting, system integrations, workflow automation, AI-assisted workflows, and new capability builds. Each engagement is scoped to a defined problem with explicit boundaries. We also consider custom engagements for the right client and problem — if your situation doesn't fit a standard shape, tell us about it and we'll let you know whether it's something we can take on.
How does an engagement work?
Every engagement moves through two phases. Discovery — a paid, structured process that defines delivery-ready scope before any delivery is authorised. Then Delivery — execution against that locked scope, with formal acceptance at close. See our How We Work page for the full picture.
What is the Discovery engagement fee?
The Discovery fee covers the structured definition work that must happen before delivery can begin. It is a fixed fee based on the structural complexity of your project — not the time spent. It is not a deposit against delivery costs. The appropriate band is confirmed after an initial discussion.
Do you provide estimates or pricing before Discovery?
No. Delivery pricing is established only after scope is defined through Discovery. We do not provide estimates, indicative pricing, or ballpark figures before a delivery-ready scope exists. Estimates without scope are guesses — and guesses create problems.
How do payments work?
Payment is tied to defined delivery outcomes — not time or effort. The Discovery fee covers the definition phase. Delivery is activated by a separate fee once scope is locked. Delivery work proceeds through milestones, with payment released when each deliverable is accepted. Full details are on our How We Work page.
How long will my project take?
Every project requires us to match and schedule the right delivery team for your specific scope — this typically takes 2–3 weeks from engagement confirmation. From there, we work with you through Discovery to define the full timeline. Indicative durations once scoped and scheduled:
- System integration: 1–3 weeks
- Workflow automation: 1–3 weeks
- Paper-to-digital system: 2–4 weeks
- Dashboard and reporting: 2–4 weeks
- Internal operations tool: 2–5 weeks
- Client portal: 3–6 weeks
- AI-assisted workflow: 3–6 weeks
- New capability build: 4–8 weeks
What happens if my requirements change during delivery?
Changes to scope during delivery are handled through a formal change process. They are assessed against the agreed scope, documented, and authorised before any additional work proceeds. We do not absorb undocumented scope changes.
What does a completed engagement look like?
A completed engagement is one where the agreed deliverables have been produced, reviewed against the agreed acceptance criteria, and formally accepted. At that point, the engagement closes. No further obligation is implied beyond what is explicitly agreed.
What is your defect correction policy?
Delivered work that does not conform to agreed acceptance criteria will be corrected within 30 days of delivery at no additional cost. This applies to the agreed scope — new requirements or changes are handled separately.
Is there ongoing support after delivery?
Post-delivery support is not included by default. Where ongoing support is required, it is scoped and agreed as a separate engagement.
Do you use NDAs or other client protections?
Yes. All engagements are protected by a mutual non-disclosure agreement signed before project details are exchanged. Every engagement is also governed by a formal written agreement with clear terms on both sides. Full details are on our Client Protection page.
Will I retain full IP ownership?
Yes. IP created during delivery transfers to you once all payment obligations are met.
How do you handle communication and updates?
You will have a single point of contact throughout your engagement. Expect scheduled check-ins, milestone-based updates, and a clear channel for questions or clarifications. The exact cadence is confirmed during onboarding.

Do you have a standard engagement agreement?
Yes. Every Cleverstack engagement is governed by a formal written agreement. Our contracts are plain-English, clearly structured, and designed to protect both parties. Prospective clients are welcome to request a copy prior to committing — get in touch through our Contact page and we'll send it across.
Do you offer long-term support or retainers?
Not by default. Where ongoing support is required after delivery, it is scoped and agreed as a separate engagement.
